Welcome to Nyika Sojas Safaris. Please read these Terms and Conditions carefully before booking your trip. By paying a deposit or confirming a booking with us, you agree to be bound by these terms.
1. Booking & Payment Terms
To secure your safari or tour with Nyika Sojas Safaris, payments are split into three structured installments, or adjusted flexibly based on group size and travel season:
- First Installment (Deposit): A 30% non-refundable deposit of the total tour price is required to secure your booking, lock in your safari dates, and reserve initial lodge accommodations. A booking is only considered confirmed once this deposit has cleared.
- Second Installment: A 40% payment is required mid-way through your booking timeline to cover ongoing local reservations and park permits.
- Final Installment (Remaining 30%): The final 30% balance must be paid exactly 6 weeks (42 days) before your arrival date.
- Cash on Arrival Option: Depending on the season (e.g., low season vs. high peak season) and the number of travelers (pax) in your group, Nyika Sojas Safaris may authorize you to pay the final 30% balance in cash upon arrival in Arusha. This exception must be explicitly agreed upon in writing during your booking process.
- Payment Methods: Advance payments can be made via bank wire transfer or our secure online credit card gateway. For cash payments on arrival, we accept US Dollars (USD banknotes must be issued after 2021, clean, and without tears or markings) or Tanzanian Shillings (TZS). All transfer or card transaction fees are the responsibility of the client.
2. Cancellations & Refunds
If you need to cancel your trip, you must notify Nyika Sojas Safaris in writing. Because our final payment deadline is set at 6 weeks, our cancellation fees are structured as follows based on when we receive your written notice:

Note on Government Fees: Please note that certain costs, such as Tanzania National Parks Authority (TANAPA) or Ngorongoro Conservation Area Authority (NCAA) park permits, are instantly non-refundable by law and cannot be returned regardless of when you cancel.
3. Changes to Itineraries
- Changes by the Client: We will do our best to accommodate any changes you wish to make to your itinerary after booking, but these are subject to availability. Any extra costs incurred from accommodation or transport changes will be charged to the client.
- Changes by the Company: While we make every effort to stick to the planned itinerary, unexpected local conditions (e.g., closed roads, lodge overbookings, or safety concerns) may require us to alter routes or accommodations. We reserve the right to substitute alternatives of an equal or higher standard without prior notice.
4. Force Majeure (Unforeseen Events)
Nyika Sojas Safaris cannot accept liability or pay compensation where our services are delayed, changed, or canceled due to circumstances beyond our control. This includes, but is not limited to: natural disasters, extreme weather conditions, political instability, government restrictions, pandemics, border closures, or war. In these cases, we will issue travel vouchers for a future trip minus any unrecoverable costs already paid to suppliers.
5. Price Adjustments & Surcharges
The price of your safari is fully guaranteed once final payment is made. However, before final payment, Nyika Sojas Safaris reserves the right to adjust package prices in the event of sudden, unexpected increases in government taxes, national park entry fees, concession fees, or extreme fuel surcharges.
6. Travel Insurance
Comprehensive travel insurance is mandatory for all clients traveling with Nyika Sojas Safaris.
- Your insurance policy must cover personal accident, medical emergency expenses, emergency medical evacuation (such as Flying Doctors service), trip cancellation, and loss of luggage.
- Nyika Sojas Safaris is not responsible for any financial losses, medical bills, or repatriation costs incurred by the client before, during, or after the tour.
7. Passports, Visas, and Health Requirements
- It is the sole responsibility of the traveler to ensure they hold a valid passport (valid for at least 6 months beyond the date of departure from Tanzania) and the correct entry visas.
- Clients must meet all health and vaccination requirements (such as Yellow Fever certificates or specific health protocols) required by the United Republic of Tanzania.
- Nyika Sojas Safaris accepts no liability if you are denied entry into the country or any national park due to incorrect documentation.
8. Liability & Assumption of Risk
- Third-Party Providers: Nyika Sojas Safaris acts as an agent arranging bookings for hotels, lodges, flights, and boat operators. We select our partners carefully but cannot be held liable for any injury, damage, loss, delay, or irregularity caused by the negligence or default of these independent suppliers.
- Inherent Risks: Booking a safari involves traveling to wild areas and viewing wildlife. By booking with us, you acknowledge that there are natural risks involved in adventure travel and agree to follow all safety instructions given by your safari guide at all times.
- Personal Belongings: Luggage and personal items are carried entirely at the client’s own risk.
9. Governing Law & Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of the United Republic of Tanzania. Any disputes arising directly from our services shall be subject to the exclusive jurisdiction of the courts of Tanzania in Arusha.
